This Privacy Policy explains how Applied Open Source, LLC, located in Florida, operates HOA Photo Packet and handles information when you use the mobile application, related websites, support services, and any future cloud storage or shared project features. 1. Summary

HOA Photo Packet helps homeowners, contractors, property managers, and property service companies create organized project photo packets for HOA approvals, permits, inspections, insurance documentation, repairs, maintenance, and proof of work.

Version 1.0 is designed as a local-first app. Project photos, notes, labels, property details, generated PDFs, and packet records are stored on your device unless you choose to export or share them. Version 2.0 may add cloud storage, accounts, shared projects, contractor teams, client access, and company workspaces. This policy covers both the current local-only version and planned cloud-enabled features.

2. Information We Collect or Process

A. Local App Data Stored on Your Device

When you use the local version, the app may store the following on your device:

  • Project names and project types
  • Property names, addresses, job locations, or project locations you enter
  • Photos and images you take or import
  • Photo labels such as Before, During, After, Damage, Repair, Completed, Proposed, Current, or Inspection
  • Notes, descriptions, captions, and packet comments you enter
  • Dates, times, project status, packet status, and generated PDF history
  • Location metadata only if you allow location access and choose to include it
  • Exported PDFs and related local files

For Version 1.0, this information remains on your device unless you choose to share it through your device features such as email, text message, AirDrop, Files, cloud drive apps, print, or another app installed on your device.

B. Device Permissions

  • Camera — capture project photos inside the app.
  • Photo Library — import existing photos or save generated images/PDFs, if enabled.
  • Location — used only if you choose to add project location to a packet.
  • Files / Document Storage — save, export, import, or share PDFs and project files.
  • Notifications — only if enabled for reminders or future shared-project updates.

C. Version 2.0 Cloud Account Data

If cloud features are enabled and you create an account or join a workspace, we may collect or process account details, login credentials, subscription/billing status (not full card numbers), uploaded project data, invitations and permissions, audit logs, support communications, and device/usage information needed for security and reliability.

D. Payment Information

In-app purchases and subscriptions may be processed by Apple App Store, Google Play, Stripe, or another authorized provider depending on the purchase channel. We do not store full credit card numbers. Payment providers may send us limited purchase, receipt, entitlement, or billing status information needed to provide paid features and support.

E. Website and Support Data

If you visit https://hoaphotopacket.com, contact support, or submit a form, we may collect your email, name, message content, device/browser information, IP address, and support history. Our website may use standard hosting logs, cookies, analytics, or security tools if disclosed on the website.

3. How We Use Information

We use information to provide, maintain, secure, support, and improve HOA Photo Packet — including creating and exporting packets, saving local projects and preferences, providing future cloud/collaboration features, processing purchases, providing support and security, improving the product, and complying with legal and app store obligations.

4. How Information Is Shared

We do not sell your personal information. We may share information only: with people you choose to share with; with workspace members in Version 2.0 based on permissions; with service providers that help us operate the app; with app stores and payment providers; with legal or safety authorities when required by law; and in connection with a business transaction subject to appropriate protections.

5. Your Sharing Choices

You control what you enter into a packet and what you export or share. When you export a PDF or share files outside the app, the recipient and any third-party app or service you use handle that information under their own terms and privacy practices.

6. Location Data

The app may request location permission only to support project documentation. You may deny location permission or turn it off in device settings. In Version 1.0, location data is processed on device unless you choose to export, share, or include it in a PDF.

7. Photos, Project Content, and Property Information

Project photos may include homes, addresses, license plates, people, vehicles, documents, damage, or other sensitive information. You are responsible for ensuring you have the right to capture, store, share, and export photos and project information, and for not sharing content that violates privacy, property, confidentiality, or other rights.

8. Data Retention and Deletion

For local-only Version 1.0, project data is stored on your device until you delete it in the app, delete exported files, uninstall the app, or remove app data through your operating system. We generally cannot recover or delete local data from your device. For Version 2.0 cloud features, data may be retained while needed to provide the service or to meet legal, security, and billing obligations.

9. Account Deletion for Version 2.0

If Version 2.0 includes account creation, you will be able to request or initiate account deletion in the app (typically Settings > Account > Delete Account). Shared project data may be deleted, transferred, retained, or anonymized depending on ownership, legal obligations, and permissions.

10. Security

We use reasonable safeguards designed to protect information. For Version 1.0, privacy depends heavily on your device security. For Version 2.0, cloud security may include encrypted connections, access controls, authentication, and logging. No system can be guaranteed completely secure.

11. International Access

The app and related services are operated from the United States. If you access the app from outside the U.S., information may be processed in the U.S. or other countries where we or our service providers operate.

12. Your Privacy Rights

Depending on where you live, you may have rights to access, correct, delete, export, restrict, or object to certain processing. Contact support@hoaphotopacket.com to make a request. We may need to verify your identity first.

13. Children

HOA Photo Packet is not intended for children under 13, and we do not knowingly collect personal information from children under 13.

14. Third-Party Services

The app may interact with third-party services such as Apple, Google, cloud storage, email apps, file sharing apps, payment processors, and mapping/location services, each governed by their own policies and terms.

15. No Sale of Personal Information

We do not sell personal information, and we do not use local-only project photos, packet notes, property details, or exported PDFs for advertising profiling.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Updated versions will be posted in the app or on https://hoaphotopacket.com with a new effective date.
